Agency retainer CRM
Client CRM for agencies on monthly retainers: monthly retainers instead of one-off quotes, hours used against each client's plan, and a renewal reminder 30 days before a retainer ends.
The outcome
Every client's retainer and hours used are in one place, and you're reminded 30 days before a retainer ends.

About this template
In Jocky's words.
What's inside
- Clients: stage (Lead → Proposal → Active → Renewal due → Ended), plan, monthly retainer, hours per month, retainer start and end, and this month's hours used ("31 of 40")
- Retainer months: each client's month, counted from their start day (started Jul 15 → Oct 15 – Nov 14), with hours included, used and left
- Time logs: who logged how many hours for which client, by day
- Proposals: monthly fee, hours, term and dates, what's included, and a PDF; Draft → Sent → Accepted or Declined
- Plans: the retainer plans you sell, with hours and fee
- Team: who signs in to Retainers, as a manager or a member
- Renewal reminder (automation): every morning, moves each client onto this month's hours, turns retainers ending within 30 days Renewal due, and emails you one list
- Proposal sent (automation): emails the client the proposal and a link to its PDF when you send it
- New lead alert (automation): emails you when the lead form brings someone new
- Retainers (app): retainers a month and renewals, every client's hours this month, logging time, and proposals with a PDF made for you
Get started
- Set your retainer plans. Hours and fee for each plan.
- Add your clients. Retainer, hours, and end date.
- Log time as you work. The month's hours fill up.
Playbook. The first thing in the project walks you through every step and ticks them off as you go. Delete it once you're done.
Sign-in. Your team signs in to Retainers with a one-time code sent to their email; a manager gives each person a role. Project collaborators who sign in with Teable are managers. Members see every client's hours and log their own time; managers also see fees, send proposals, and manage clients, plans and the team. The Lead form is a Teable form you can share with anyone.
Comes with sample data for a made-up design agency, Studio Halden. Every sample email is on example.com, so the automations send nothing to sample clients.
1 click. 1 sentence. Yours.
-
Click Use template on this page. Its 7 tables, 3 automations, and 2 apps open in your Teable already working, with sample records. Nothing to install, nothing to set up.
-
Tell Teable AI what's different, the way you'd say it: “Add a monthly hours report emailed to each client.” It changes the fields, steps, and screens to match.
-
Its 3 automations run on their own. You just run the business.
